Zapier: workflows, task costs and AI automation

Zapier connects applications through automated workflows. Evaluate supported actions, reliable error handling and actual cost per completed business action.

Capabilities and use

A large app directory does not prove support for your required triggers and actions. Test field mapping, duplicates, responses and write permissions with your actual systems. AI steps also need output review and bounded authority. General usability or cost superiority over Make or n8n requires a comparable test case.

Costs and access

Tasks are not entire workflows. The current rate table lists 2 tasks per MCP call; AI steps can consume 1, 3 or 5 tasks depending on model tier, with additional tool calls charged separately. Your own model access may add provider costs. Some built-ins such as Filter and Formatter use no tasks. Check task tier, billing period and overages in your account.

Rights and data

Connected applications retain their own permissions and processing terms. Define what data reaches Zapier, the model provider and the destination app. Logs, retention, contracts and approvals must fit the process. An enterprise feature or successful test does not automatically prove privacy compliance or correct delivery.
